Benchmarking meeting of UPOU Library led by University Librarian Jennifer Belen-Bunao with CLSU Library Head Nuelah Reyes and other library staff and IT personnel of both universities

The University of the Philippines Open University (UPOU) Library organized a benchmarking meeting with the Central Luzon State University (CLSU) Library last  16 June 2023 at the UPOU OC Conference Room and via Zoom. Participants from the CLSU Library were Ms. Nuelah Reyes, Ms. Camia Lasig, Ms. Vanessa Morales, Ms. Roselyn Madia, Ms. Richie Garabiles, and Mr. Ian Panahon.

UPOU Librarian Jennifer Belen-Bunao took the lead in showcasing UPLOAD—the UPOU’s open-access database of scholarly outputs that include pre- and post-refereed journal articles, conference proceedings, theses and dissertations, working papers, reports, and datasets. She provided insights into the background of UPLOAD and explained the process flow for accessing and depositing various collections into the repository.

Ms. Joshze Rica Esguerra, Junior Project Officer from the Office of the Vice Chancellor for Academic Affairs (OVCAA), discussed the technical aspects of UPLOAD—its development and continuous improvement through various features, including the use of associated DOI (Digital Object Identifier), share buttons, support widget, limited registration, and analytics.

To further guide the CLSU Library participants, Ms. Christine Faye Pesimo, a student assistant at UPOU Library, demonstrated the step-by-step process of depositing a file into UPLOAD. She also covered the process of generating DOIs using a separate tool. Additionally, Ms. Belen-Bunao shared the tool that UPOU Library uses in monitoring UPLOAD submissions and explained the use of Freshdesk to notify submitters of the confirmation of deposit authorization.

Aside from UPLOAD, the UPOU Library’s microsite which contains more resources, subscriptions, and services of the library was also introduced to CLSU Library participants. These services include inter-library loan and document delivery—a service that plays a crucial role in providing students of open universities like UPOU with access to essential references.

At the end of the benchmarking meeting, CLSU Library participants had the opportunity to address their questions and concerns. The technical queries raised were promptly addressed with the assistance of Mr. Eriberto Roxas, Jr., Senior Systems Administrator of the Information and Communication Technology Development Office (ICTDO).

Through this benchmarking activity, UPOU successfully shared its best practices in managing and delivering library resources and services. The University Library looks forward to collaborating with more libraries of different institutions, both to assist them in improving their library initiatives and to learn from their experiences.
